Short answer: There are four ways to connect Shopware to your fulfilment partner or 3PL— manually, using a native plugin from the fulfilment partner, via the 3PL/WMS portal, or via an integration platform. Which option is best depends on your order volume and the number of systems and channels you want to connect.
Do you sell through Shopware and outsource your shipping to a fulfilment partner (3PL) such as Active Ants/Paxon or PostNL? If so, you’ll want orders to be sent automatically to the warehouse, and for inventory and tracking information to be automatically updated in Shopware—without anyone having to manually enter order details. Manual data entry takes time, leads to errors, and causes overselling. Below, you’ll find an honest overview of the available options and when to choose each one.
Which data do you actually need to synchronize?
Before you choose a method, it’s helpful to know exactly what needs to be exchanged between Shopware and your fulfilment partner:
| Data | From | To | Why |
|---|---|---|---|
| Orders | Shopware | Fulfilment / 3PL | Start shipping automatically, without retyping |
| Shipping Status & Track & Trace | Fulfilment / 3PL | Shopware | Automatically notify the customer about the shipment |
| Inventory | Fulfilment / 3PL | Shopware | Prevent overselling; up-to-date inventory in the webshop |
| Items (SKUs) | Shopware | Fulfilment / 3PL | The warehouse picks the correct product |
The Four Ways to Integrate Shopware with Fulfilment
1. Manually (forwarding orders)
You export orders from Shopware and send them (via CSV or email) to your fulfilment partner, then update inventory and tracking information manually. It’s inexpensive and doesn’t require any technical know-how, but it’s time-consuming and prone to errors. It’s manageable with just a handful of orders per day, but becomes unsustainable as you grow.
2. Native plugin from the fulfilment partner
Some fulfilment partners offer a ready-to-use plugin or app for Shopware. It’s quick to set up and often inexpensive if you work exclusively with that one partner. The limitations become apparent as soon as you have multiple partners, multiple sales channels (marketplaces), or differing processes—at that point, managing a single native integration per partner becomes difficult.
3. The 3PL or WMS Portal
Many 3PLs have their own portal where you can enter or import orders. It works without additional software, but it still involves some manual work: you have to keep two systems in sync, and inventory and status aren’t automatically updated in Shopware. It’s suitable as a temporary solution, but less so if you want to scale up.
4. An integration platform
You connect Shopware and your fulfilment partner once to an integration platform, which automatically orchestrates the data flows between the two (and, if applicable, your marketplaces and ERP). Less maintenance, a single overview, and the flexibility to add an additional fulfilment partner, marketplace, or online store later on without having to rebuild the system. This is the KoneX approach—an integration platform, not a custom development project.
Comparison at a glance
| Method | Setup | Maintenance | Suitable for |
|---|---|---|---|
| Manual (CSV/email) | No technical skills | Lots of manual work | Very low volumes |
| Native plugin partner | Quickly, by partner | Accumulates across multiple partners/channels | One dedicated fulfilment partner |
| 3PL/WMS Portal | No software | Partly manual work, no feedback | Interim Solution |
| Integration platform | Connect once | Centralized, scales with growth | Growth & Multiple Systems/Channels |

How does KoneX do it?
With the Shopware – fulfilment integration from KoneX, orders are automatically transferred from Shopware to your fulfilment partner (such as Active Ants/Paxon or PostNL), and inventory and tracking information are automatically updated in Shopware—without any duplicate data entry. You connect each system once and can easily add marketplaces (such as Bol or Amazon), an additional fulfilment partner, or your ERP later on— Integrate Once. Connect Everywhere.
It’s important to be honest: if you work with a single, dedicated fulfilment partner that offers a good native Shopware plugin, that can be perfectly sufficient. However, as soon as you start connecting multiple partners or sales channels, want to ensure inventory is consistent across channels, or plan to scale up, an integration platform generally becomes more reliable and less expensive to maintain.
